How do I work with Project Templates?

Project templates allow you to set up predefined templates and use them as a starting point for new projects. This makes it easier for new users to get started and ensures a consistent process.

Create and Manage Project Templates

Only users with the roles Administrator, Sub-account Administrator, or users with Extended Rights can create and manage project templates.



Why Should We Use Project Templates?

Project templates simplify the process for your team when starting projects in Refapp. With project templates, users with the appropriate permissions can establish a structured approach to how your organization conducts reference checks.

In a project template, you can configure:

  • Standard communication with candidates and references
    Define pre-set additions for what you wish to communicate to a candidate or reference, such as the specific references you want to collect.

  • How Refapp communicates with candidates and references
    For instance, if you want to use both email and SMS, you can configure that.

  • The number of references to request from a candidate

  • The minimum number of references to request from a candidate


Examples of Project Templates

Depending on your organization’s activities, it can be useful to have predefined processes for different areas.

  • Basic Template
    A Basic Template in Refapp is recommended to create a consistent process for conducting reference checks. For example, it can standardize how your organization communicates with candidates and sets requirements for the number of references. See more examples above.

  • Reference Checks for Clients
    If you belong to a recruitment company conducting reference checks on behalf of clients, it is recommended to create a template specifically for this type of reference check.

  • Verbal Reference Check
    If you want to streamline the process for using Refapp to schedule reference calls, along with the recommended settings for such calls, it’s also beneficial to have this as a project template.


Enable the Feature

  1. Navigate to Company Settings.
  2. Under the General category in the settings, locate the toggle for Always Create Projects from Templates.
  3. Activate the toggle and save.

Tips Before Activation

  • Map Out Your Needs: Consider the types of projects that frequently recur and create templates for those.
  • Involve the Team: Invite team members to provide feedback on what templates are needed.
  • Regular Updates: Adjust the templates as processes or needs evolve.
