Administrators, subaccount administrators, and users with extended rights can create project templates that other users can select when starting a reference check from your recruitment system.
1. Initial Setup in Refapp

Log into Refapp and select Project Templates from the drop-down menu under your profile.

Name the Template: Give the template a descriptive name that reflects the role, department, or recruitment process for example, Standard Reference Check.

Select Subaccount: Select the subaccount where this template should be available.

Choose Questionnaire: Select the specific questionnaire that should be used for this template.

The template is divided into three key areas of logic:

Candidate Communication: Configure how candidates are invited and how many references they must provide.

Automation Tip: If enabled, candidates receive email/SMS invites the moment you trigger the reference check within your ATS.

Referee Communication: Configure how Refapp communicates with referees and when questionnaires are sent.

Automation Tip: If enabled, questionnaires are automatically sent to references as soon as the candidate submits their contact details.

Security and Integrity: Configure identity verification for referees and decide whether the project should be Public. See this helpdesk article for more information about public projects and how to use them.
2. Enable project templates for your ATS
To make project templates available in your recruitment system, an administrator must:
- Go to Company Settings > Integrations.
- Locate the setting for your ATS (the wording varies depending on the system).
- Enable Use Project Templates for ATS integration configuration.
Once enabled, users will be able to select these templates when configuring Refapp in their ATS.
