How do I use the Greenhouse integration?
This guide explains how to use Refapp within Greenhouse Recruiting to send and manage reference checks.
There are two versions of the integration:
The setup is similar for both versions, but there are differences in how projects are created and managed.
For further details on the differences between the older version of the integration and the Harvest API integration, and how to update, please see our guide 'How do I update the Greenhouse integration to the Harvest version?'
Before you start
Before using the integration, make sure:
- Your organisation has created Project Templates in Refapp
- The integration between Refapp and Greenhouse is properly configured
If you haven’t created Project Templates yet, follow our setup guide.
How to use the integration in a job in Greenhouse
(with Harvest API)
Step 1: Add Refapp as an interview stage
Start by adding Refapp as an interview stage. To add an interview stage to an existing job, navigate to your job (All Jobs → Job Name) and click Job Setup.
Select Interview Plan on the left side of the page and click + Add a Stage.
Select the Refapp stage on the next window. When you’re finished, click Add to add the stage to the job's interview plan.

Step 2: Configure the stage
After adding the stage, configure which reference process should be used. Click the 'Edit interview' icon, and choose which process to use in the “Refapp Test to Send Candidate” section. Select a 'Test' from the dropdown menu. Note: Despite the label “Test”, these options represent reference check templates configured in Refapp.

Once you've chosen the which process to use. Remember to Save.
Step 3: Send a reference check
Once the stage has been configured, you can use it in the interview plan. To activate a reference check on a candidate, move the candidate to the Refapp interview stage and click Send Test to trigger the reference check.

A project will be created Refapp, and the candidate gets sent to the project.
If the project template has automation turned on a mail and/or SMS has been sent to the candidate, asking them to submit their referees.
Step 3: View the report
Once all requested referees have submitted their responses, the Interview Kit will contain a link to view the finished report in the Refapp application.
Click View Report to see the finished reference report.

How to use the integration in a job in Greenhouse
(without Harvest API)
The process is largely the same as above, with one key difference when configuring the stage.

Select a 'Test' from the dropdown menu and which user that will be responsible for the process (shown within brackets()). If you should be repsonsible for the process, select the template that's connected to your name.
